Brand Deal Inquiry Triage
Every brand inquiry checked for scam signs and missing terms, quoted from your rate card, logged in Notion and answered only after you approve.
What it does
Every brand inquiry checked for scam signs and missing terms, quoted from your rate card, logged in Notion and answered only after you approve.
- Starts from each inquiry your “work with me” form posts to its webhook.
- AI pulls out the deliverables, budget, dates, usage rights, exclusivity and payment terms, and lists the terms that are missing.
- Scores the fit against your brand rules and flags scam signs (pay-to-join, overpayment, credential or download requests, mismatched email domains, crypto or gambling).
- Prices the ask from your own rate card only, line by line, and drafts a reply with your questions.
- The quote is recalculated in code before anyone sees it — never by the AI: each rate-card line (quantity × price), the subtotal, the usage and exclusivity add-ons, the total and how far it is above your minimum; anything the AI got wrong is corrected and flagged to you, and deliverables not on your card are left out of the total.
- Logs every inquiry in your Notion deals database and posts high-value deals to Slack.
- You approve (and can edit) every reply before it's emailed; likely scams and refused categories get no reply.
What it needs
- A paid plan (agents run live on paid plans).
- An AI provider key (Settings → AI Providers).
- Notion (with a deals database) and Slack, connected in Settings → Integrations.
- A “work with me” form that can post JSON to a webhook, and your written rate card.
What it doesn't do
- It isn't contract or legal review and gives no legal or tax advice; FTC disclosure is yours.
- Rates come from your rate card only; it never negotiates, accepts a deal or agrees to terms.
- The scam check is a heuristic, not a guarantee.
- Nothing is sent before you approve it.
Availability and plans
Available
Its workflow is built and tested, and every app it needs is live. You can get it and set it up now.
Included free on the Enterprise plan; on other paid plans it's a one-time purchase per workspace (the price is on the Agents page). The Agents page in the app always shows its current status.
Before you start
- A paid plan: agents run live, and the Free plan only runs Dry Runs.
- An AI provider key (OpenAI, Anthropic, Google and more) in Settings → AI Providers. AI usage is billed by your provider.
- These apps, connected in Settings → Integrations: Notion and Slack.
- A form, app or system that can send each new item to a webhook URL (the agent starts from a webhook).
- About 15 minutes.
Set it up step by step
Get the agent first (buy it, or it's already yours when your plan includes it), then in Agents → My agents press “Set up this agent”. That creates the agent's workflow in your workspace (it counts towards your plan's workflow limit) and opens the canvas with a setup checklist above it. Each item links to the exact place to go and ticks itself off when it's done.
1. Connect your AI provider
The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
2. Connect Notion
Connect Notion and share your deals database with the Fluxo Flow integration (Settings → Integrations → Notion).
3. Connect Slack
Connect the Slack workspace high-value alerts go to (Settings → Integrations → Slack).
4. Paste your brand rules and rate card
Open “Read the terms, fit and red flags” and replace the placeholder with your rules and rate card.
| Setting | What to enter | In step |
|---|---|---|
| Your brand rules and rate card | Replace the placeholder with your niche, brands and categories you accept and refuse, your rate card (price per deliverable, usage-rights and exclusivity add-ons, minimum), payment terms, turnaround, high-value threshold and sign-off. Quotes come only from this card. It starts as “[PASTE YOUR CREATOR NAME, YOUR NICHE AND AUDIENCE, BRANDS AND CATEGORIES YOU WORK WITH AND NEVER WORK WITH, YOUR RATE CARD (PRICE PER DELIVERABLE, USAGE-RIGHTS AND EXCLUSIVITY ADD-ONS, MINIMUM FEE), YOUR PAYMENT TERMS, TURNAROUND, YOUR HIGH-VALUE THRESHOLD AND YOUR SIGN-OFF HERE]” until you replace it. | “Read the terms, fit and red flags” |
5. Pick the deals database
Open “Add it to your deals database” and pick your account and database.
| Setting | What to enter | In step |
|---|---|---|
| Notion account | The Notion workspace with your deals database. Pick your connected Notion account. | “Add it to your deals database” |
| Deals database | The Notion database inquiries are logged in, with the properties Name (title), Status (select with a New inquiry option), Brand (text), Contact email (email), Budget (text), Fit (select: 1–5), Scam risk (select: low, medium, high), Received (date). | “Add it to your deals database” |
6. Pick the Slack channel
Open “Alert you in Slack” and pick your account and channel.
| Setting | What to enter | In step |
|---|---|---|
| Slack account | The Slack workspace high-value alerts go to. Pick your connected Slack account. | “Alert you in Slack” |
| Slack channel for high-value deals | The channel you or your manager watch, e.g. #brand-deals. | “Alert you in Slack” |
7. Add your partnerships inbox
Open “Email the brand” and enter the address replies should come back to.
| Setting | What to enter | In step |
|---|---|---|
| Your partnerships inbox (replies) | The brand's replies come back to this address (Reply-to). | “Email the brand” |
8. Test it with Dry Run
Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
9. Switch the trigger on
Open the trigger, switch the webhook on and copy its URL and secret into your “work with me” form.
How it works
The agent is a normal workflow with 14 steps (1 AI step, with a person approving in Reviews). You can open, edit and monitor it like any other workflow.
- New brand inquiry — Starts when your form or app sends data to the agent's webhook URL. Starts when your “work with me” form posts an inquiry: brand, contact, deliverables, budget, dates, usage rights and website.
- Read the terms, fit and red flags — AI step (runs on your AI provider key). AI pulls out the terms, scores the fit against your brand rules, flags scam signs and missing terms, prices the ask line by line from your rate card and drafts your reply.
- Check the math — Step. Recalculates each rate-card line (quantity × price), the subtotal, every usage or exclusivity add-on, the total and how far it is above your minimum in code — not by AI — writes the correct figures into the quote, the reply and the Slack alert, and flags anything the AI got wrong.
- Add it to your deals database — Notion: Create a page in a database. Adds the inquiry to your Notion deals database: status New inquiry, brand, contact, budget, fit, scam risk and the full breakdown.
- In your deals database — Kept in the run history. The run history keeps the Notion page link.
- High-value deal? — Decision: picks the branch to follow. Deals at or above your high-value threshold are posted to Slack straight away.
- Alert you in Slack — Slack: Post a message. Branch: High value. Posts the brand, the ask, the quote total, fit and scam risk to your Slack channel.
- Not high value — Kept in the run history. Branch: Other. No Slack alert; the deal is in Notion and the reply is in Reviews.
- Draft a reply? — Decision: picks the branch to follow. Likely scams and brands in categories you refuse get no reply (they're still logged in Notion).
- No reply (scam risk or refused category) — Kept in the run history. Branch: Don't reply. Logged in Notion with the red flags; nothing was sent.
- Approve the reply — A person approves or rejects it in Reviews (the run waits). Branch: Reply. You read the inquiry, the red flags and the drafted reply in Reviews, edit it and approve. Nothing is sent before that.
- Email the brand — Sends an email from your workspace's sender. Branch: Approved. Sends your approved reply to the brand contact, with replies coming back to your partnerships inbox.
- Reply sent — Kept in the run history. The run history keeps the approved reply.
- Not sent — Kept in the run history. Branch: Rejected. You rejected the reply; the deal stays in Notion.
Test it with Dry Run
Press Dry Run in the canvas. The agent runs on the sample data stored on its trigger (the “Sample data for Dry Run” box), so you can check every step's output before anything is live. Edit the sample to match the fields your own form or app sends.
Sample data fields
brand_name, contact_name, contact_email, website, deliverables, budget, dates, usage_rights, exclusivity, payment_terms, message.
- Nothing is sent or written: app actions, emails and Slack posts are simulated, and AI steps don't call your AI provider.
- Approval steps use the Dry Run decision you pick in the step's settings (approved, rejected or timeout), so you can try each branch.
Go live
- Open the trigger, switch the webhook on and copy its URL and secret into your “work with me” form.
- The webhook is protected by a secret: send it in the header shown in the Activation panel (requests without it are refused with 403). Each request starts one run.
- The setup checklist adds a “paid plan” item before activation: live runs need a paid plan (the Free plan only runs Dry Runs).
- When every checklist item is done and the trigger is on, the checklist says “Live — this agent is running”. Follow its runs in the workflow's History tab and in Analytics → Agents.
Questions
What should the form send?
A JSON POST with brand_name, contact_name, contact_email, website, deliverables, budget, dates, usage_rights, exclusivity, payment_terms and message. Your form or site posts it with the webhook's signature header.
Does it review the contract?
No. It isn't contract or legal review, and FTC disclosure is yours. It organises the inquiry, asks for missing terms and quotes from your rate card.
Can the AI get the quote total wrong?
Not in what you or the brand sees: after the AI prices the ask, every rate-card line, the usage and exclusivity add-ons and the total are recalculated in code and written into the quote, the reply and the Slack alert. If the AI's math was off, the review screen shows what was corrected. Whether a deal is high value is still the AI's call against your threshold.
How reliable is the scam check?
It's a heuristic: it flags common signs (pay-to-join, overpayment, credentials or download requests, mismatched email domains) but can't guarantee a brand is genuine. Check the brand yourself before you sign or ship anything.
What Notion database do I need?
A database with the properties Name (title), Status (select with a New inquiry option), Brand (text), Contact email (email), Budget (text), Fit (select: 1–5), Scam risk (select: low, medium, high), Received (date), shared with the Fluxo Flow integration.
Troubleshooting
- “No AI provider connected” or a rejected key: connect or fix the key in Settings → AI Providers, then press Test there.
- A checklist item stays unticked: the setting is still empty or still contains its placeholder text. Open the step from the checklist and fill it in.
- An app step fails with “Needs reconnect”: the account's access was revoked or expired. Reconnect it in Settings → Integrations.
- Slack says the app isn't in the channel: in Slack, type /invite @Fluxo Flow in that channel (always needed for private channels).
- Nothing happens when your form sends data: check the webhook is switched on and the request carries the secret header (403 means it's missing or wrong).
- A run shows as paused: it's waiting for someone in Reviews to approve or reject it.
- A step failed: open the run in History and check that step in the Trace tab for the error and what it received.
