Task Intake Triage

When a ClickUp task is created, suggests priority and due date, rewrites a clear description and asks clarifying questions.

Available About 10 min to set up

What it does

When a ClickUp task is created, suggests priority and due date, rewrites a clear description and asks clarifying questions.

  • Starts within seconds when a task is created in the ClickUp List you pick (ClickUp webhook) and reads the task.
  • AI suggests a priority and a due date from your rules, only for tasks that don't have them yet, and leaves tasks that are already clear alone.
  • Due dates are worked out in code, never by the AI: the candidate dates for your usual turnarounds are computed in your workflow's time zone and the AI only picks one (or copies an exact date from the task).
  • Rewrites the description into goal, context and a done-when checklist, keeping the original text word for word underneath, and writes the clarifying questions the task leaves open.
  • A teammate approves in Reviews, then the task is updated and the questions are posted as a comment. You can let clear-cut tasks be updated without review.

What it needs

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • ClickUp, connected in Settings → Integrations.

What it doesn't do

  • It doesn't assign people or change the task's status.
  • It doesn't overwrite a priority or due date someone already set.
  • It doesn't read attachments or linked docs, only the task's own text.

Availability and plans

Available

Its workflow is built and tested, and every app it needs is live. You can get it and set it up now.

Included free on the Enterprise plan; on other paid plans it's a one-time purchase per workspace (the price is on the Agents page). The Agents page in the app always shows its current status.

Before you start

  • A paid plan: agents run live, and the Free plan only runs Dry Runs.
  • An AI provider key (OpenAI, Anthropic, Google and more) in Settings → AI Providers. AI usage is billed by your provider.
  • These apps, connected in Settings → Integrations: ClickUp.
  • The app it watches, connected in Settings → Integrations (the agent starts from an app event).
  • About 10 minutes.

Set it up step by step

Get the agent first (buy it, or it's already yours when your plan includes it), then in Agents → My agents press “Set up this agent”. That creates the agent's workflow in your workspace (it counts towards your plan's workflow limit) and opens the canvas with a setup checklist above it. Each item links to the exact place to go and ticks itself off when it's done.

1. Connect your AI provider

The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.

2. Connect ClickUp

Connect ClickUp (Settings → Integrations → ClickUp) and select the Workspace when ClickUp asks.

3. Pick the List to triage

Open the trigger and pick your ClickUp account, Workspace, Space and List.

SettingWhat to enterIn step
ClickUp account (new tasks)The ClickUp account whose List starts the agent. Pick your connected ClickUp account.“New task in your ClickUp List”
WorkspaceThe ClickUp Workspace the List is in.“New task in your ClickUp List”
SpaceThe Space the List is in.“New task in your ClickUp List”
List to triageThe List whose new tasks are triaged (for a List outside a folder, paste its id from its link).“New task in your ClickUp List”

4. Describe your rules

Open “Triage the task” and replace the placeholder with what the List is for, your priority rules and turnaround times.

SettingWhat to enterIn step
What the List is for and your rulesReplace the placeholder in “Triage the task” with what this List is for, how you decide priority and your usual turnaround times. It starts as “[DESCRIBE WHAT THIS LIST IS FOR, YOUR PRIORITY RULES AND USUAL TURNAROUND TIMES HERE]” until you replace it.“Triage the task”

5. Pick your ClickUp account in each step

Open “Read the task”, “Update the task” and “Ask the questions” and pick your ClickUp account in each.

SettingWhat to enterIn step
ClickUp account (read the task)The same ClickUp account, to read the task. Pick your connected ClickUp account.“Read the task”
ClickUp account (update)The same ClickUp account, to update the task. Pick your connected ClickUp account.“Update the task”
ClickUp account (comment)The same ClickUp account, to post the comment. Pick your connected ClickUp account.“Ask the questions”

6. Test it with Dry Run

Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.

7. Switch the trigger on

Open the trigger and click “Activate app trigger”: ClickUp then sends every new task in the List to the agent.

How it works

The agent is a normal workflow with 9 steps (1 AI step, with a person approving in Reviews). You can open, edit and monitor it like any other workflow.

  • New task in your ClickUp List — Starts on “New task in List (instant)” in ClickUp (an app event). Starts within seconds when a task is created in the List you pick (ClickUp webhook).
  • Read the task — ClickUp: Get a task. Reads the new task from ClickUp: name, description, status, priority, due date and assignees.
  • Work out the candidate due dates — Step. In code, not AI: today in your time zone, whether the task already has a due date, and the due dates for usual turnarounds (1, 2, 3, 5 and 10 business days; 7, 14 and 30 days). The AI picks one of these — it never counts days itself.
  • Triage the task — AI step (runs on your AI provider key). AI suggests a priority and due date from your rules (picking one of the due dates worked out in code), rewrites the description so anyone can pick it up, and writes the clarifying questions the task leaves open.
  • Update it? — Decision: picks the branch to follow. Tasks that are already clear are left alone; clear-cut suggestions are applied at once if you switched review off; everything else waits for a person.
  • Check the triage — A person approves or rejects it in Reviews (the run waits). Branch: Check first. A teammate checks the suggested priority, due date, description and questions in Reviews, edits them if needed and approves.
  • Update the task — ClickUp: Update a task. Branch: Apply now / Approved. Writes the clearer description and, when the task had none, the suggested priority and due date (fields left blank don't change).
  • Ask the questions — ClickUp: Add a comment. Branch: Apply now / Approved. Posts the triage summary and the clarifying questions as a comment on the task.
  • Left as is — Kept in the run history. Branch: Already clear / Rejected. Tasks that were already clear, or whose triage was rejected, are kept in the run history unchanged.

Test it with Dry Run

Press Dry Run in the canvas. The agent runs on the sample data stored on its trigger (the “Sample data for Dry Run” box), so you can check every step's output before anything is live. The sample has the same shape as a real event from the app.

Sample data fields

task_id, event, webhook_id, user, date.

  • Nothing is sent or written: app actions, emails and Slack posts are simulated, and AI steps don't call your AI provider.
  • Approval steps use the Dry Run decision you pick in the step's settings (approved, rejected or timeout), so you can try each branch.

Go live

  • Open the trigger and click “Activate app trigger”: ClickUp then sends every new task in the List to the agent.
  • Activating the app trigger needs the trigger's connected account. The first check only remembers what's already there, so older items don't start runs; the same item never starts two runs.
  • The setup checklist adds a “paid plan” item before activation: live runs need a paid plan (the Free plan only runs Dry Runs).
  • When every checklist item is done and the trigger is on, the checklist says “Live — this agent is running”. Follow its runs in the workflow's History tab and in Analytics → Agents.

Questions

Does it assign tasks?

No. It suggests priority and due date, rewrites the description and asks questions; who does the work stays your call.

How is the due date worked out?

In code, not by the AI: the agent computes today (in your trigger's time zone) and the due dates for usual turnarounds — 1, 2, 3, 5 and 10 business days, 7, 14 and 30 days — and the AI picks the one your rules call for, or copies an exact date written in the task. Relative deadlines like “by Friday” become a question instead of a guess.

Will it overwrite what someone already set?

No. A priority or due date that's already on the task is left alone, and the original description is kept word for word under the new one.

Can it update tasks without me checking?

Yes: in “Triage the task” change “UPDATE WITHOUT REVIEW: no” to “yes”. Tasks with many open questions still go to Reviews.

Troubleshooting

  • “No AI provider connected” or a rejected key: connect or fix the key in Settings → AI Providers, then press Test there.
  • A checklist item stays unticked: the setting is still empty or still contains its placeholder text. Open the step from the checklist and fill it in.
  • An app step fails with “Needs reconnect”: the account's access was revoked or expired. Reconnect it in Settings → Integrations.
  • No runs start: activate the app trigger with a connected account. Only items created after activation start runs.
  • A run shows as paused: it's waiting for someone in Reviews to approve or reject it.
  • A step failed: open the run in History and check that step in the Trace tab for the error and what it received.
