Agent setup guide

Email Drip Campaign Manager

Sends each contact in your Notion list the next AI-personalized email of their sequence when it's due.

Available About 25 min to set up

What it does

Sends each contact in your Notion list the next AI-personalized email of their sequence when it's due.

  • Every 15 minutes on weekdays, finds the next active contact in your Notion database whose “Next send” date has come (one contact per run, about 40 emails a day at most).
  • AI writes that contact's next email from the sequence plan you describe, personalized with their name, company and notes, without inventing offers or facts.
  • Saves the new step, next send date, status and the email itself on the contact's row first, then emails it from your workspace's sender with replies going to your inbox.
  • Marks contacts Done when their sequence ends, or Needs review when their track isn't in your plan.
  • Every email carries an unsubscribe link; people who unsubscribed are skipped automatically.

What it needs

  • A paid plan (agents run live on paid plans; workflow emails count toward your plan's daily email limit).
  • An AI provider key (Settings → AI Providers).
  • Notion, connected in Settings → Integrations, with a contacts database set up as described in the setup steps.
  • Your sequences written down: steps, goals, links and the days to wait between steps.

What it doesn't do

  • It doesn't read your inbox, so it doesn't notice replies: set a contact's Status to Paused to stop them.
  • It doesn't track opens or clicks, or A/B test subject lines or send times.
  • It doesn't send from your own Gmail or Outlook address; emails come from your workspace's sender with your reply-to.
  • It isn't for bulk newsletters or cold lists: one personal email per run, to contacts you add.

Availability and plans

Available

Its workflow is built and tested, and every app it needs is live. You can get it and set it up now.

Included free on the Enterprise plan; on other paid plans it's a one-time purchase per workspace (the price is on the Agents page). The Agents page in the app always shows its current status.

Before you start

  • A paid plan: agents run live, and the Free plan only runs Dry Runs.
  • An AI provider key (OpenAI, Anthropic, Google and more) in Settings → AI Providers. AI usage is billed by your provider.
  • These apps, connected in Settings → Integrations: Notion.
  • Nothing to send: the agent runs on a schedule.
  • About 25 minutes.

Set it up step by step

Get the agent first (buy it, or it's already yours when your plan includes it), then in Agents → My agents press “Set up this agent”. That creates the agent's workflow in your workspace (it counts towards your plan's workflow limit) and opens the canvas with a setup checklist above it. Each item links to the exact place to go and ticks itself off when it's done.

1. Connect your AI provider

The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.

2. Connect Notion

Connect Notion and share your contacts database with Fluxo Flow (••• → Connections in Notion).

3. Describe your product and sequences

Open “Write the next email” and replace the placeholder with your product, sender name and each sequence's steps, links and waits.

SettingWhat to enterIn step
Your product and sequencesReplace the placeholder with your product, the sender name, and each sequence by Track name: its steps in order, each with its goal, what to say, the link or call to action, and how many days to wait before the next step. It starts as “[DESCRIBE YOUR PRODUCT AND EMAIL SEQUENCES HERE]” until you replace it.“Write the next email”

4. Pick the Notion contacts database

Open “Find the next contact due” and pick your account and database, then pick the same account in “Record the step in Notion” and “Close the contact in Notion”. The property names must match exactly (Name, Email, Company, Track, Step, Next send, Status, Notes, Subject, Message).

SettingWhat to enterIn step
Notion account (find contacts)The Notion workspace with your contacts database. Pick your connected Notion account.“Find the next contact due”
Notion contacts databaseThe database with Name, Email, Company, Track, Step (number), Next send (date), Status (select: Active, Done, Needs review), Notes, Subject and Message (text). Share it with Fluxo Flow (••• → Connections).“Find the next contact due”
Notion account (record the step)The same Notion workspace, used to save each step on the contact's row. Pick your connected Notion account.“Record the step in Notion”
Notion account (close contacts)The same Notion workspace, used to mark finished contacts Done. Pick your connected Notion account.“Close the contact in Notion”

5. Add your reply-to address

Open “Email the contact” and enter the address replies should go to.

SettingWhat to enterIn step
Your reply-to addressContacts' replies to the drip emails go to this address.“Email the contact”

6. Test it with Dry Run

Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.

7. Switch the trigger on

Open the trigger, set your time zone and switch the schedule on. Then add contacts with Status Active and Next send set to the day they should start.

How it works

The agent is a normal workflow with 8 steps (1 AI step). You can open, edit and monitor it like any other workflow.

  • Every 15 minutes on weekdays — Runs on a schedule (cron */15 8-18 * * 1-5, UTC — change it in the trigger's settings). Checks for the next contact due an email every 15 minutes, 8:00–18:45 on weekdays (about 40 emails a day at most). Change the schedule to send more or less often.
  • Find the next contact due — Notion: Query a database. Looks in your Notion contacts database for the active contact whose “Next send” date has come, oldest first.
  • Write the next email — AI step (runs on your AI provider key). AI picks the contact's next step in their sequence, writes a personal email for it and works out when the following step is due.
  • Send, finish or nothing due? — Decision: picks the branch to follow. Sends the email when one is due, closes the contact when their sequence is over or needs a person, and stops when nobody is due.
  • Record the step in Notion — Notion: Update page properties. Branch: Send. Before sending, saves the new step, the next send date, the status and the email's subject and text on the contact's row, so the same step is never sent twice.
  • Email the contact — Sends an email from your workspace's sender. Once the step is saved on the row, sends the email the AI wrote to the contact, with replies going to your inbox. Every email carries an unsubscribe link, and people who unsubscribed are skipped.
  • Close the contact in Notion — Notion: Update page properties. Branch: Finish. Sets the contact's Status to Done (sequence over) or Needs review (unknown track) so they leave the queue.
  • Nobody due — Kept in the run history. Branch: Nobody due. Nothing to send this time; the run history keeps the check.

Test it with Dry Run

Press Dry Run in the canvas. The agent runs on the sample data stored on its trigger (the “Sample data for Dry Run” box), so you can check every step's output before anything is live.

  • Nothing is sent or written: app actions, emails and Slack posts are simulated, and AI steps don't call your AI provider.

Go live

  • Open the trigger, set your time zone and switch the schedule on. Then add contacts with Status Active and Next send set to the day they should start.
  • Scheduled runs start only once the schedule is activated, and can't repeat faster than your plan's minimum interval.
  • The setup checklist adds a “paid plan” item before activation: live runs need a paid plan (the Free plan only runs Dry Runs).
  • When every checklist item is done and the trigger is on, the checklist says “Live — this agent is running”. Follow its runs in the workflow's History tab and in Analytics → Agents.

Questions

How do contacts get into the sequence?

Add rows to the Notion database: by hand, a CSV import, a Notion form, or another workflow. Set Status to Active and Next send to the start date.

Does it stop when someone replies?

Not by itself: replies go to your inbox. Set that contact's Status to Paused (or anything but Active) and they get no more emails. Unsubscribes are skipped automatically.

Troubleshooting

  • “No AI provider connected” or a rejected key: connect or fix the key in Settings → AI Providers, then press Test there.
  • A checklist item stays unticked: the setting is still empty or still contains its placeholder text. Open the step from the checklist and fill it in.
  • An app step fails with “Needs reconnect”: the account's access was revoked or expired. Reconnect it in Settings → Integrations.
  • It didn't run at the expected time: the schedule must be activated, and its time is in the trigger's timezone.
  • A step failed: open the run in History and check that step in the Trace tab for the error and what it received.
