Agent setup guide
Google Review Live Responder
Reads each new Google review live from your Business Profile, drafts a reply in your voice and posts it after approval; 1–3 star reviews alert your team in Slack.
What it does
Reads each new Google review live from your Business Profile, drafts a reply in your voice and posts it after approval; 1–3 star reviews alert your team in Slack.
- Reads each new review live from your Google Business Profile location (checked every 15 minutes or more); reviews you already answered are left alone. Unlike the sheet-based Guest Review Responder, nothing has to be pasted or exported.
- AI drafts a public reply in your voice: specific to the review, thankful for praise, calm and helpful for criticism, never arguing, admitting liability or mentioning refunds.
- The stars are sorted in code: 1–3 star reviews are posted to your team's Slack channel at once and always wait for a high-priority approval.
- 4–5 star replies wait for your approval too, unless you switch that off; serious ones (illness, injury, discrimination, legal) always wait.
- Code checks the reply (present, length, no leftover placeholders), then it's posted under the review on Google as your business.
What it needs
- A paid plan (agents run live on paid plans).
- An AI provider key (Settings → AI Providers).
- Google Business Profile (a verified location you own or manage) and Slack, connected in Settings → Integrations.
What it doesn't do
- 1–3 star replies are never posted without a person's approval.
- One location per setup; it doesn't answer old reviews or reviews on Yelp, TripAdvisor or Facebook.
- It doesn't flag, report or remove reviews, and doesn't contact the reviewer privately.
Availability and plans
Coming soon — waiting for Google Business Profile approval
The agent is built, but Google Business Profile is still waiting for the vendor's approval. It becomes available on its own once that app is live; until then it can't be bought or set up.
Included free on the Enterprise plan; on other paid plans it's a one-time purchase per workspace (the price is on the Agents page). The Agents page in the app always shows its current status.
Before you start
- A paid plan: agents run live, and the Free plan only runs Dry Runs.
- An AI provider key (OpenAI, Anthropic, Google and more) in Settings → AI Providers. AI usage is billed by your provider.
- These apps, connected in Settings → Integrations: Google Business Profile and Slack.
- The app it watches, connected in Settings → Integrations (the agent starts from an app event).
- About 15 minutes.
Set it up step by step
Get the agent first (buy it, or it's already yours when your plan includes it), then in Agents → My agents press “Set up this agent”. That creates the agent's workflow in your workspace (it counts towards your plan's workflow limit) and opens the canvas with a setup checklist above it. Each item links to the exact place to go and ticks itself off when it's done.
1. Connect your AI provider
The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
2. Connect Google Business Profile
Connect the Google account that manages your Business Profile in Settings → Integrations → Google Business Profile.
3. Connect Slack
Connect your Slack account in Settings → Integrations.
4. Pick your location
Open the trigger and pick your Google account, Business Profile account and location.
| Setting | What to enter | In step |
|---|---|---|
| Google account (reviews) | The Google account that owns or manages your Business Profile. Pick your connected Google Business Profile account. | “New Google review” |
| Business Profile account | Pick the Business Profile account. | “New Google review” |
| Location | Pick the location whose reviews you answer. | “New Google review” |
5. Describe your voice
Open “Draft the reply” and replace the placeholder with your voice and the 4–5 star switch.
| Setting | What to enter | In step |
|---|---|---|
| Your voice and 4–5 star switch | Replace the placeholder with your business, tone, who signs replies, your private contact, what you never say in public and REVIEW 4-5 STAR REPLIES: yes or no. It starts as “[DESCRIBE YOUR BUSINESS, YOUR TONE IN REVIEW REPLIES, WHO SIGNS THEM, HOW UNHAPPY CUSTOMERS REACH YOU PRIVATELY (EMAIL OR PHONE), WHAT YOU NEVER SAY IN PUBLIC, AND WHETHER 4–5 STAR REPLIES NEED YOUR REVIEW. REVIEW 4-5 STAR REPLIES: yes]” until you replace it. | “Draft the reply” |
6. Pick your team channel
Open “Alert the team in Slack” and pick the workspace and channel.
| Setting | What to enter | In step |
|---|---|---|
| Slack workspace | The Slack workspace for low-star alerts. Pick your connected Slack account. | “Alert the team in Slack” |
| Team channel | The channel where 1–3 star reviews are posted. | “Alert the team in Slack” |
7. Pick where replies go
Open “Post the reply on Google” and pick the same Google account, Business Profile account and location.
| Setting | What to enter | In step |
|---|---|---|
| Google account (replies, same one) | The same Google account. Pick your connected Google Business Profile account. | “Post the reply on Google” |
| Business Profile account (replies) | The same Business Profile account as on the trigger. | “Post the reply on Google” |
| Location (replies) | The same location as on the trigger. | “Post the reply on Google” |
8. Test it with Dry Run
Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
9. Switch the trigger on
Open the trigger and click “Activate app trigger”: new reviews are checked every 15 minutes or more.
How it works
The agent is a normal workflow with 15 steps (1 AI step, with a person approving in Reviews). You can open, edit and monitor it like any other workflow.
- New Google review — Starts on “New review” in Google Business Profile (an app event). Starts for each new review on your Google Business Profile location (checked every 15 minutes or more).
- Already answered? — Decision: picks the branch to follow. Reviews that already have a reply from you are left alone.
- Already answered — Kept in the run history. Branch: Answered. The review already has your reply.
- Draft the reply — AI step (runs on your AI provider key). Branch: No reply yet. AI drafts a public reply in your voice: specific to what the reviewer wrote, thankful for praise, calm and helpful for complaints, never arguing or admitting liability.
- 4 stars? — Step. In code: is the review 4 stars?
- 5 stars? — Step. In code: is the review 5 stars?
- Who decides? — Decision: picks the branch to follow. Sorted in code by the stars: 1–3 ★ go to Slack and always to a high-priority review; 4–5 ★ are reviewed too unless you switched that off (serious ones always are).
- Alert the team in Slack — Slack: Post a message. Branch: 1–3 ★. Posts the low-star review, what went wrong and the draft reply to your team channel at once.
- 1–3 ★: approve the reply — A person approves or rejects it in Reviews (the run waits). Branch: 1–3 ★. Low-star reviews always wait here with high priority (the team gets the Slack alert at the same time): edit the reply (or reject and answer yourself), then approve to post it on Google.
- 4–5 ★: approve the reply — A person approves or rejects it in Reviews (the run waits). Branch: 4–5 ★. Reviews of 4–5 stars wait here unless you switched review off: edit, approve to post it on Google, or reject.
- Check before posting — Step. Branch: 4 ★, no review / 5 ★, no review / Approved. In code: the reply is there, fits Google's limit (we keep it under 1500 characters) and has no leftover placeholders.
- Passed the checks? — Decision: picks the branch to follow. Passed: the reply is posted on Google. Otherwise nothing is posted.
- Held: nothing posted — Kept in the run history. Branch: Held. The reply was blank, too long or still had a placeholder; reply in your Business Profile by hand.
- Post the reply on Google — Google Business Profile: Reply to a review. Branch: Post. Posts the approved reply under the review, as your business.
- Replied — Kept in the run history. The run history keeps the review, the draft and what was posted.
Test it with Dry Run
Press Dry Run in the canvas. The agent runs on the sample data stored on its trigger (the “Sample data for Dry Run” box), so you can check every step's output before anything is live. The sample has the same shape as a real event from the app.
Sample data fields
comment, review_id, name, stars, star_rating, reviewer_name, reviewer_anonymous, created_at, updated_at, reply, replied_at.
- Nothing is sent or written: app actions, emails and Slack posts are simulated, and AI steps don't call your AI provider.
- Approval steps use the Dry Run decision you pick in the step's settings (approved, rejected or timeout), so you can try each branch.
Go live
- Open the trigger and click “Activate app trigger”: new reviews are checked every 15 minutes or more.
- Activating the app trigger needs the trigger's connected account. The first check only remembers what's already there, so older items don't start runs; the same item never starts two runs.
- The setup checklist adds a “paid plan” item before activation: live runs need a paid plan (the Free plan only runs Dry Runs).
- When every checklist item is done and the trigger is on, the checklist says “Live — this agent is running”. Follow its runs in the workflow's History tab and in Analytics → Agents.
Questions
How is this different from the Guest Review Responder?
The Guest Review Responder drafts replies for reviews you paste or export into a Google Sheet and you post them yourself. This agent reads new Google reviews live from your Business Profile and posts the approved reply on Google for you.
Does it reply without me?
1–3 star reviews never: they always wait for a person. 4–5 star replies wait too by default; write REVIEW 4-5 STAR REPLIES: no in your voice to let them post on their own (serious ones still wait).
Which reviews does it answer?
New reviews on the location you pick that don't have a reply yet. It doesn't go back through old reviews.
Troubleshooting
- “No AI provider connected” or a rejected key: connect or fix the key in Settings → AI Providers, then press Test there.
- A checklist item stays unticked: the setting is still empty or still contains its placeholder text. Open the step from the checklist and fill it in.
- An app step fails with “Needs reconnect”: the account's access was revoked or expired. Reconnect it in Settings → Integrations.
- Slack says the app isn't in the channel: in Slack, type /invite @Fluxo Flow in that channel (always needed for private channels).
- No runs start: activate the app trigger with a connected account. Only items created after activation start runs.
- A run shows as paused: it's waiting for someone in Reviews to approve or reject it.
- A step failed: open the run in History and check that step in the Trace tab for the error and what it received.
