Agent setup guide

Guest Review Responder

Drafts a public reply in your voice for every review in your sheet, alerts the manager about bad ones, and nothing goes out unapproved.

Available About 15 min to set up

What it does

Drafts a public reply in your voice for every review in your sheet, alerts the manager about bad ones, and nothing goes out unapproved.

  • Starts from each review added to your Reviews sheet in Google Sheets (pasted in, or exported from Google, Yelp or TripAdvisor).
  • AI notes the sentiment, what the guest liked and each issue they raised, quoting the review.
  • Drafts a 40–120 word public reply in your voice: specific, apologetic where needed, never arguing, never admitting liability, and offering comps only if your voice guide allows it. Serious complaints get a short reply that takes it offline.
  • 1–2★ reviews and serious complaints (illness, allergies, injury, discrimination, legal threats) are posted to your managers' Slack channel at once.
  • Every reply waits for a manager's approval; once approved it is written into the review's row (“Approved — ready to post”) and emailed to whoever posts replies.

What it needs

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Google Sheets and Slack, connected in Settings → Integrations.
  • A Google Sheet with one row per review (reviews added at the bottom) and three empty columns for the reply, status and approval time.

What it doesn't do

  • It doesn't post replies on Google, Yelp or TripAdvisor (there's no connector for that): you copy and paste the approved reply.
  • It doesn't fetch reviews from the review sites: you paste or export them into the sheet.
  • Nothing is written back or emailed before a manager approves it.
  • It isn't the NPS analyzer: it answers public reviews one by one, it doesn't analyse private survey themes.

Availability and plans

Available

Its workflow is built and tested, and every app it needs is live. You can get it and set it up now.

Included free on the Enterprise plan; on other paid plans it's a one-time purchase per workspace (the price is on the Agents page). The Agents page in the app always shows its current status.

Before you start

  • A paid plan: agents run live, and the Free plan only runs Dry Runs.
  • An AI provider key (OpenAI, Anthropic, Google and more) in Settings → AI Providers. AI usage is billed by your provider.
  • These apps, connected in Settings → Integrations: Google Sheets and Slack.
  • The app it watches, connected in Settings → Integrations (the agent starts from an app event).
  • About 15 minutes.

Set it up step by step

Get the agent first (buy it, or it's already yours when your plan includes it), then in Agents → My agents press “Set up this agent”. That creates the agent's workflow in your workspace (it counts towards your plan's workflow limit) and opens the canvas with a setup checklist above it. Each item links to the exact place to go and ticks itself off when it's done.

1. Connect your AI provider

The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.

2. Connect Google Sheets

Connect the Google account that can edit your Reviews sheet (Settings → Integrations → Google Sheets).

3. Connect Slack

Connect the Slack workspace your managers use (Settings → Integrations → Slack) and invite the app to the managers' channel.

4. Pick your Reviews sheet

Open the trigger, pick your Google account, paste the spreadsheet link and the tab name.

SettingWhat to enterIn step

First empty column for the replyColumn letter where the reply goes; the status and approval time go in the next two columns (e.g. G for Reply, H for Status, I for Approved at).“Write the approved reply into the row”

8. Add who posts replies

Open “Email the approved reply to whoever posts it” and enter their address.

SettingWhat to enterIn step
Who posts repliesReplace the example address with the person (or shared inbox) who posts approved replies on the review sites. It starts as “replies@your-venue.example” until you replace it.“Email the approved reply to whoever posts it”

9. Test it with Dry Run

Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.

10. Switch the trigger on

Open the trigger and click “Activate app trigger”: reviews added at the bottom of the sheet are picked up on your plan's schedule interval. Rows already there aren't processed.

How it works

The agent is a normal workflow with 11 steps (1 AI step, with a person approving in Reviews). You can open, edit and monitor it like any other workflow.

  • New review in your Reviews sheet — Starts on “New row” in Google Sheets (an app event). Starts a run for each review added to the bottom of your Reviews sheet (pasted in, or exported from Google, Yelp or TripAdvisor), checked on your plan's schedule interval.
  • Read the review and draft a reply — AI step (runs on your AI provider key). AI reads the rating and the review, notes the sentiment and each issue raised, flags low ratings and serious complaints for the manager, and drafts a public reply in your voice.
  • Alert the manager? — Decision: picks the branch to follow. 1–2★ reviews and serious complaints go to the manager in Slack at once; others don't need an alert.
  • Alert the manager in Slack — Slack: Post a message. Branch: Low rating / serious. Posts the rating, a one-line summary, the issues and the suggested follow-up to your managers' channel, so a bad review is seen the same day.
  • Manager alerted — Kept in the run history. The Slack alert is in the run history.
  • No alert needed — Kept in the run history. Branch: No alert. 3★ and above without a serious complaint: no Slack alert; the reply still waits for approval.
  • Manager approves the reply — A person approves or rejects it in Reviews (the run waits). The drafted reply waits in Reviews. The manager edits it if needed and approves it; nothing is written back or sent before that.
  • Write the approved reply into the row — Google Sheets: Update a row. Branch: Approved. Writes the approved reply, “Approved — ready to post” and the time into the review's own row, starting at the column you pick.
  • Email the approved reply to whoever posts it — Sends an email from your workspace's sender. Emails the approved reply with the review link to the person who posts replies on Google, Yelp or TripAdvisor.
  • Ready to post — Kept in the run history. The run history keeps the review, the approved reply and where it was saved.
  • Skipped — Kept in the run history. Branch: Rejected. The manager rejected the draft; nothing was written or sent.

Test it with Dry Run

Press Dry Run in the canvas. The agent runs on the sample data stored on its trigger (the “Sample data for Dry Run” box), so you can check every step's output before anything is live. The sample has the same shape as a real event from the app.

Sample data fields

sheet, row._row, row.Date, row.Platform, row.Reviewer, row.Rating, row.Review, row.Link, row_number.

  • Nothing is sent or written: app actions, emails and Slack posts are simulated, and AI steps don't call your AI provider.
  • Approval steps use the Dry Run decision you pick in the step's settings (approved, rejected or timeout), so you can try each branch.

Go live

  • Open the trigger and click “Activate app trigger”: reviews added at the bottom of the sheet are picked up on your plan's schedule interval. Rows already there aren't processed.
  • Activating the app trigger needs the trigger's connected account. The first check only remembers what's already there, so older items don't start runs; the same item never starts two runs.
  • The setup checklist adds a “paid plan” item before activation: live runs need a paid plan (the Free plan only runs Dry Runs).
  • When every checklist item is done and the trigger is on, the checklist says “Live — this agent is running”. Follow its runs in the workflow's History tab and in Analytics → Agents.

Questions

Does it post the reply on Google or Yelp?

No. There is no connector that can post review replies, so the approved reply is saved in the sheet and emailed to whoever posts replies, who copies and pastes it.

What should the sheet look like?

One row per review with columns such as Date, Platform, Reviewer, Rating, Review and Link, plus three empty columns at the right (e.g. Reply, Status, Approved at) for the agent to fill in. Add new reviews at the bottom.

Troubleshooting

  • “No AI provider connected” or a rejected key: connect or fix the key in Settings → AI Providers, then press Test there.
  • A checklist item stays unticked: the setting is still empty or still contains its placeholder text. Open the step from the checklist and fill it in.
  • An app step fails with “Needs reconnect”: the account's access was revoked or expired. Reconnect it in Settings → Integrations.
  • Slack says the app isn't in the channel: in Slack, type /invite @Fluxo Flow in that channel (always needed for private channels).
  • No runs start: activate the app trigger with a connected account. Only items created after activation start runs.
  • A run shows as paused: it's waiting for someone in Reviews to approve or reject it.
  • A step failed: open the run in History and check that step in the Trace tab for the error and what it received.
