Agent setup guide

Influencer Outreach Drafter

Each creator you add to your outreach sheet gets a personal email you approve, sent from your Gmail, one follow-up if they don't reply, and a status in the sheet.

Available About 20 min to set up

What it does

Each creator you add to your outreach sheet gets a personal email you approve, sent from your Gmail, one follow-up if they don't reply, and a status in the sheet.

  • Starts for each creator you add to your outreach sheet (name, handle, platform, niche, email, notes).
  • AI writes a short, personal outreach email from that row and your exact offer, plus one polite follow-up.
  • You approve both; the email is checked in code and sent from your Gmail, and the row is marked Sent.
  • After 5 days it checks the row's Replied cell: empty gets the one follow-up (row marked Followed up), filled stops it (row marked Replied).
  • A week after the follow-up the row gets its final status: Replied or No reply.

What it needs

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • Google Sheets and Gmail, connected in Settings → Integrations.
  • A creators tab (Name | Handle | Platform | Niche | Email | Notes | Status | Updated | Replied). You fill the Replied cell when a creator answers.

What it doesn't do

  • It can't read your inbox: replies are tracked through the Replied cell you fill in.
  • It doesn't find creators or check their audience numbers.
  • One follow-up at most; nothing is sent without your approval.
  • Waits need Wait steps (migration 0062) in your workspace.

Availability and plans

Available

Its workflow is built and tested, and every app it needs is live. You can get it and set it up now.

Included free on the Enterprise plan; on other paid plans it's a one-time purchase per workspace (the price is on the Agents page). The Agents page in the app always shows its current status.

Before you start

  • A paid plan: agents run live, and the Free plan only runs Dry Runs.
  • An AI provider key (OpenAI, Anthropic, Google and more) in Settings → AI Providers. AI usage is billed by your provider.
  • These apps, connected in Settings → Integrations: Google Sheets and Gmail.
  • The app it watches, connected in Settings → Integrations (the agent starts from an app event).
  • About 20 minutes.

Set it up step by step

Get the agent first (buy it, or it's already yours when your plan includes it), then in Agents → My agents press “Set up this agent”. That creates the agent's workflow in your workspace (it counts towards your plan's workflow limit) and opens the canvas with a setup checklist above it. Each item links to the exact place to go and ticks itself off when it's done.

1. Connect your AI provider

The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.

2. Connect Google Sheets

Connect the Google account that can open your creators sheet.

3. Connect Gmail

Connect the Gmail account you send outreach from (send-only access).

4. Pick the creators sheet

Open the trigger and pick the account, spreadsheet and tab (Name | Handle | Platform | Niche | Email | Notes | Status | Updated | Replied).

7. Test it with Dry Run

Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.

8. Switch the trigger on

Open the trigger and press “Activate app trigger”. New rows are picked up on your plan's schedule interval.

How it works

The agent is a normal workflow with 21 steps (1 AI step, with a person approving in Reviews). You can open, edit and monitor it like any other workflow.

  • New creator in your outreach sheet — Starts on “New row” in Google Sheets (an app event). Starts a run for each row added to your creators tab (Name | Handle | Platform | Niche | Email | Notes | Status | Updated | Replied).
  • Write the outreach and follow-up — AI step (runs on your AI provider key). AI writes a short, personal outreach email from the creator's niche and your notes, plus one polite follow-up for later.
  • Approve the outreach — A person approves or rejects it in Reviews (the run waits). The email and its follow-up wait in Reviews: edit both and approve. Reject to skip this creator.
  • Check before sending — Step. Branch: Approved. In code: ready, one valid email, subjects and bodies with no placeholders.
  • Send it? — Decision: picks the branch to follow. Passes: sent from your Gmail. Otherwise held.
  • Held: not sent — Kept in the run history. Branch: Held. Not ready, no valid email or a placeholder left.
  • Send from Gmail — Gmail: Send an email. Branch: Send. Sends the outreach from your Gmail account (it appears in your Sent folder; replies come to your inbox).
  • Mark it Sent — Google Sheets: Update a row. Writes Status “Sent” and today's date to the row.
  • Wait 5 days — Waits 5 days. Gives the creator 5 days to reply. Change the days on this step (up to 30).
  • Read the row again — Google Sheets: Find a row. Reads the creator's row again to see whether you filled in the Replied cell.
  • Did they reply? — Decision: picks the branch to follow. In code: a filled Replied cell means they replied (you or a teammate types it); empty means one follow-up.
  • Mark it Replied — Google Sheets: Update a row. Branch: Replied. Writes Status “Replied” to the row; no follow-up is sent.
  • Replied — Kept in the run history. They replied: no follow-up.
  • Send the follow-up — Gmail: Send an email. Branch: No reply. Sends the one approved follow-up from your Gmail.
  • Mark it Followed up — Google Sheets: Update a row. Writes Status “Followed up” and today's date to the row.
  • Wait 7 more days — Waits 7 days. One last week for a reply before the final status.
  • Read the row a last time — Google Sheets: Find a row. Reads the row to see whether the Replied cell is filled.
  • Replied in the end? — Decision: picks the branch to follow. In code: filled Replied cell → Replied; empty → No reply.
  • Mark it No reply — Google Sheets: Update a row. Branch: No reply. Writes Status “No reply” to the row. Nothing else is sent.
  • Mark it Replied (after follow-up) — Google Sheets: Update a row. Branch: Replied. Writes Status “Replied” to the row.
  • Outreach finished — Kept in the run history. The sheet shows the final status.

Test it with Dry Run

Press Dry Run in the canvas. The agent runs on the sample data stored on its trigger (the “Sample data for Dry Run” box), so you can check every step's output before anything is live. The sample has the same shape as a real event from the app.

Sample data fields

sheet, row._row, row.Name, row.Handle, row.Platform, row.Niche, row.Email, row.Notes, row.Status, row.Updated, row.Replied, row_number.

  • Nothing is sent or written: app actions, emails and Slack posts are simulated, and AI steps don't call your AI provider.
  • Approval steps use the Dry Run decision you pick in the step's settings (approved, rejected or timeout), so you can try each branch.
  • Wait steps don't wait: they report how long they would wait and the run goes on.

Go live

  • Open the trigger and press “Activate app trigger”. New rows are picked up on your plan's schedule interval.
  • Activating the app trigger needs the trigger's connected account. The first check only remembers what's already there, so older items don't start runs; the same item never starts two runs.
  • The setup checklist adds a “paid plan” item before activation: live runs need a paid plan (the Free plan only runs Dry Runs).
  • When every checklist item is done and the trigger is on, the checklist says “Live — this agent is running”. Follow its runs in the workflow's History tab and in Analytics → Agents.

Questions

How does it know they replied?

Our Gmail connection can send but not read your inbox, so it checks the row's Replied cell: type anything there (yes, a date, a note) when a creator answers, and the follow-up isn't sent.

Does it find creators for me?

No. You add the creators you've chosen to the sheet; it writes and sends the emails and keeps the status.

What about disclosure rules?

The email asks creators to disclose the partnership the way you describe (for example #ad, per FTC rules). Following those rules on the post is up to you and the creator.

Troubleshooting

  • “No AI provider connected” or a rejected key: connect or fix the key in Settings → AI Providers, then press Test there.
  • A checklist item stays unticked: the setting is still empty or still contains its placeholder text. Open the step from the checklist and fill it in.
  • An app step fails with “Needs reconnect”: the account's access was revoked or expired. Reconnect it in Settings → Integrations.
  • No runs start: activate the app trigger with a connected account. Only items created after activation start runs.
  • A run shows as paused: it's waiting for someone in Reviews to approve or reject it.
  • A run shows “Waiting until …” in History: that's a Wait step; it continues on its own (it can be cancelled through the API).
  • A step failed: open the run in History and check that step in the Trace tab for the error and what it received.
