Agent setup guide
Lane Quote Responder
Prices each shipper quote request from a Truckstop rate estimate plus your margin and drafts the quote email for approval.
What it does
Prices each shipper quote request from a Truckstop rate estimate plus your margin and drafts the quote email for approval.
- Receives each quote request from your website form (or an email-to-webhook tool) through a webhook.
- AI reads the lane, equipment, ship date, weight and the shipper's details. Multi-lane, LTL, specialised or incomplete requests are emailed to your quote desk instead.
- Pulls a Truckstop Rate Insights estimate for the lane, applies your margin, minimums and rounding, and shows its arithmetic.
- The all-in rate (buy rate + margin + any fuel or accessorial) and the rate per mile are recalculated in code before anyone sees them — never by the AI; anything the AI got wrong is corrected and flagged to the broker.
- Drafts the quote email with your inclusions, validity and signature; a broker approves or edits it in Reviews before it's emailed to the shipper, Reply-to your sales inbox.
- Every request, estimate and quote is kept in the run history.
What it needs
- A paid plan (agents run live on paid plans).
- An AI provider key (Settings → AI Providers).
- Truckstop API access licensed for Rate Insights.
- A quote form (or email tool) that can send requests to a webhook URL, and your quoting rules.
What it doesn't do
- The rate is a market estimate plus your margin, not a guaranteed buy rate or a booking.
- One lane per request: multi-lane or RFP requests go to a person.
- It never emails a shipper without a broker approving the quote.
- It doesn't read your inbox or log quotes in your TMS.
- Coming soon until Truckstop is approved.
Availability and plans
Available
Its workflow is built and tested, and every app it needs is live. You can get it and set it up now.
Included free on the Enterprise plan; on other paid plans it's a one-time purchase per workspace (the price is on the Agents page). The Agents page in the app always shows its current status.
Before you start
- A paid plan: agents run live, and the Free plan only runs Dry Runs.
- An AI provider key (OpenAI, Anthropic, Google and more) in Settings → AI Providers. AI usage is billed by your provider.
- These apps, connected in Settings → Integrations: Truckstop.
- A form, app or system that can send each new item to a webhook URL (the agent starts from a webhook).
- About 20 minutes.
Set it up step by step
Get the agent first (buy it, or it's already yours when your plan includes it), then in Agents → My agents press “Set up this agent”. That creates the agent's workflow in your workspace (it counts towards your plan's workflow limit) and opens the canvas with a setup checklist above it. Each item links to the exact place to go and ticks itself off when it's done.
1. Connect your AI provider
The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
2. Connect Truckstop
Connect Truckstop with the client ID/secret Truckstop issued for your integration (Rate Insights must be licensed).
3. Write your quoting rules
Open “Read the quote request” and “Price it and draft the quote” and replace the placeholders with your quoting rules.
| Setting | What to enter | In step |
|---|---|---|
| Quoting rules (request step) | Replace the placeholder with what you quote (equipment, regions) and what goes to a person (LTL, specialised trailers, cross-border). It starts as “[DESCRIBE YOUR QUOTING RULES: MARGIN, MINIMUMS, FUEL, ACCESSORIALS, VALIDITY, SIGNATURE]” until you replace it. | “Read the quote request” |
| Quoting rules (pricing step) | Replace the placeholder with your margin, minimums, rounding, fuel and accessorial policy, quote validity and email signature. It starts as “[DESCRIBE YOUR QUOTING RULES: MARGIN, MINIMUMS, FUEL, ACCESSORIALS, VALIDITY, SIGNATURE]” until you replace it. | “Price it and draft the quote” |
4. Pick the Truckstop connection
Open “Get the Truckstop rate estimate” and pick your Truckstop connection.
| Setting | What to enter | In step |
|---|---|---|
| Truckstop connection | Your Truckstop API connection, licensed for Rate Insights. Pick your connected Truckstop account. | “Get the Truckstop rate estimate” |
5. Add your quote desk and sales inbox
Open “Send it to your quote desk” and “Email the quote to the shipper” and enter the two addresses.
| Setting | What to enter | In step |
|---|---|---|
| Quote desk email | Replace the example address with your quote desk (up to 5, comma-separated): requests the agent can't price (multi-lane, LTL, incomplete) are emailed there for a person. It starts as “quotes@your-brokerage.example” until you replace it. | “Send it to your quote desk” |
| Your sales inbox (Reply-to) | Shippers' answers to the quote come back to this address. | “Email the quote to the shipper” |
6. Test it with Dry Run
Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
7. Switch the trigger on
Open the trigger, switch the webhook on and copy its URL into your quote form. Assign the review step to your pricing desk.
How it works
The agent is a normal workflow with 12 steps (2 AI steps, with a person approving in Reviews). You can open, edit and monitor it like any other workflow.
- New quote request — Starts when your form or app sends data to the agent's webhook URL. Your website quote form (or your email-to-webhook tool) posts each shipper's quote request to the workflow's webhook URL.
- Read the quote request — AI step (runs on your AI provider key). AI pulls out the lane, equipment, ship date, weight and the shipper's details, and checks it is a single lane it can price.
- Can it be priced? — Decision: picks the branch to follow. Multi-lane, LTL or incomplete requests go to your quote desk for a person; single full-truckload lanes get a market rate.
- Get the Truckstop rate estimate — Truckstop: Get a Rate Insights estimate. Branch: Single lane. Asks Truckstop Rate Insights what carriers are being paid on this lane for this equipment and date.
- Price it and draft the quote — AI step (runs on your AI provider key). AI reads the Truckstop estimate, applies your margin and quoting rules, and drafts the quote email to the shipper.
- Check the math — Step. Re-adds the quote's parts (buy rate, margin, any fuel or accessorial) into the all-in rate and recalculates the rate per mile in code — not by AI — writes the correct rate into the quote email and flags anything the AI got wrong for the broker.
- Approve the quote — A person approves or rejects it in Reviews (the run waits). A broker checks the rate, the arithmetic and the email in Reviews, edits them if needed and approves to send.
- Email the quote to the shipper — Sends an email from your workspace's sender. Branch: Approved. Sends the approved quote to the shipper from your workspace's sender, with replies going to your sales inbox.
- Quote sent — Kept in the run history. The run history keeps the request, the estimate and the quote that was sent.
- Not sent — Kept in the run history. Branch: Rejected. Rejected quotes are kept in the run history; nothing was sent.
- Send it to your quote desk — Sends an email from your workspace's sender. Branch: Needs a person. Emails the request and the reason it can't be auto-priced to your quote desk, so a person quotes it.
- Sent to the quote desk — Kept in the run history. The run history keeps the request and why it wasn't auto-priced.
Test it with Dry Run
Press Dry Run in the canvas. The agent runs on the sample data stored on its trigger (the “Sample data for Dry Run” box), so you can check every step's output before anything is live. Edit the sample to match the fields your own form or app sends.
Sample data fields
name, email, company, origin, destination, equipment, pickup_date, weight, commodity, notes.
- Nothing is sent or written: app actions, emails and Slack posts are simulated, and AI steps don't call your AI provider.
- Approval steps use the Dry Run decision you pick in the step's settings (approved, rejected or timeout), so you can try each branch.
Go live
- Open the trigger, switch the webhook on and copy its URL into your quote form. Assign the review step to your pricing desk.
- The webhook is protected by a secret: send it in the header shown in the Activation panel (requests without it are refused with 403). Each request starts one run.
- The setup checklist adds a “paid plan” item before activation: live runs need a paid plan (the Free plan only runs Dry Runs).
- When every checklist item is done and the trigger is on, the checklist says “Live — this agent is running”. Follow its runs in the workflow's History tab and in Analytics → Agents.
Questions
Is the rate guaranteed?
No. It's built on Truckstop's market estimate plus your margin. A broker approves every quote, and the email states your validity and capacity terms.
Can the AI get the rate wrong?
The AI picks the buy rate and margin under your rules; the all-in rate is then re-added from those parts in code and written into the email, so the email always matches the figures the broker approves. If the AI's sum was off, the review screen shows what was corrected.
Can it read quote requests from my inbox?
Not directly. Send them to the webhook from your web form, or from an email-parsing tool that can call a webhook.
Troubleshooting
- “No AI provider connected” or a rejected key: connect or fix the key in Settings → AI Providers, then press Test there.
- A checklist item stays unticked: the setting is still empty or still contains its placeholder text. Open the step from the checklist and fill it in.
- An app step fails with “Needs reconnect”: the account's access was revoked or expired. Reconnect it in Settings → Integrations.
- Nothing happens when your form sends data: check the webhook is switched on and the request carries the secret header (403 means it's missing or wrong).
- A run shows as paused: it's waiting for someone in Reviews to approve or reject it.
- A step failed: open the run in History and check that step in the Trace tab for the error and what it received.
