Agent setup guide

Lead Generation & Sales Agent

Scores every inbound lead and routes hot ones to HubSpot and Slack instantly.

Available About 15 min to set up

What it does

Scores every inbound lead and routes hot ones to HubSpot and Slack instantly.

  • Receives each new lead from your website, landing page or ad form through a webhook.
  • AI scores fit and intent from 0 to 100 against the ideal customer you describe, and writes the reason, likely objections, a recommended play and the next step.
  • Hot leads (70+) are created or updated in HubSpot as sales-qualified, and posted to your Slack sales channel with the score and next step.
  • Warm leads (40–69) are created or updated in HubSpot as marketing-qualified, ready for your nurture sequences.
  • For hot and warm leads, a note on the HubSpot contact records the score, the reason, likely objections, the next step and the lead's own message.
  • Cold leads are kept in the run history with their score; nothing is written to your CRM.

What it needs

  • A paid plan (agents run live on paid plans).
  • An AI provider key (Settings → AI Providers).
  • HubSpot and Slack, connected in Settings → Integrations.
  • A form or landing page that can send new leads to a webhook URL.

What it doesn't do

  • It doesn't look leads up on the web or in data providers; it scores what the form sends.
  • It doesn't email or call leads, or enroll them in sequences (use HubSpot for outreach).
  • It doesn't read leads from a Google Sheet; leads arrive through the webhook.

Availability and plans

Available

Its workflow is built and tested, and every app it needs is live. You can get it and set it up now.

Included free on the Elite and Enterprise plans; on other paid plans it's a one-time purchase per workspace (the price is on the Agents page). The Agents page in the app always shows its current status.

Before you start

  • A paid plan: agents run live, and the Free plan only runs Dry Runs.
  • An AI provider key (OpenAI, Anthropic, Google and more) in Settings → AI Providers. AI usage is billed by your provider.
  • These apps, connected in Settings → Integrations: HubSpot and Slack.
  • A form, app or system that can send each new item to a webhook URL (the agent starts from a webhook).
  • About 15 minutes.

Set it up step by step

Get the agent first (buy it, or it's already yours when your plan includes it), then in Agents → My agents press “Set up this agent”. That creates the agent's workflow in your workspace (it counts towards your plan's workflow limit) and opens the canvas with a setup checklist above it. Each item links to the exact place to go and ticks itself off when it's done.

1. Connect your AI provider

The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.

2. Connect HubSpot

Connect the HubSpot account your sales team works in (Settings → Integrations → HubSpot).

3. Connect Slack

Connect the Slack workspace your sales team uses (Settings → Integrations → Slack).

4. Describe your ideal customer

Open “Qualify and score the lead” and replace the placeholder with who you sell to. The score is only as good as this description.

SettingWhat to enterIn step
Your ideal customerReplace the placeholder in the AI step's instructions with who you sell to: industry, company size, roles, the problem you solve and any deal-breakers. It starts as “[DESCRIBE YOUR IDEAL CUSTOMER HERE]” until you replace it.“Qualify and score the lead”

5. Pick your HubSpot account

Open the three HubSpot steps (hot lead, warm lead, qualification note) and pick your connected account in each.

SettingWhat to enterIn step
HubSpot account (hot leads)The HubSpot account hot leads are added to. Pick your connected HubSpot account.“Add hot lead to HubSpot”
HubSpot account (warm leads)The HubSpot account warm leads are added to. Pick your connected HubSpot account.“Add warm lead to HubSpot”
HubSpot account (qualification note)The same HubSpot account, used to log the score and reason as a note on the contact. Pick your connected HubSpot account.“Log the qualification on the contact”

6. Pick the Slack account and sales channel

Open “Alert sales in Slack” and pick your account and channel. Invite the app to private channels first (/invite @Fluxo Flow).

SettingWhat to enterIn step
Slack accountThe Slack workspace the hot-lead alert is posted to. Pick your connected Slack account.“Alert sales in Slack”
Sales channelPick the channel your sales team watches, e.g. #sales.“Alert sales in Slack”

7. Test it with Dry Run

Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.

8. Switch the trigger on

Open the trigger, switch the webhook on and send your form submissions to its URL.

How it works

The agent is a normal workflow with 8 steps (1 AI step). You can open, edit and monitor it like any other workflow.

  • New lead — Starts when your form or app sends data to the agent's webhook URL. Your website form, landing page or ad form posts each new lead to the workflow's webhook URL.
  • Qualify and score the lead — AI step (runs on your AI provider key). AI scores fit and intent from 0 to 100 against your ideal customer, picks hot / warm / cold and writes the reason, likely objections and the next step.
  • Hot, warm or cold? — Decision: picks the branch to follow. Scores of 70 or more are hot, 40–69 warm; the rest are cold. Change the numbers on the router to tune it.
  • Add hot lead to HubSpot — HubSpot: Create or update a contact. Branch: Hot. Creates the contact in HubSpot (or updates the one with the same email) as a sales-qualified lead.
  • Alert sales in Slack — Slack: Post a message. Branch: Hot. Posts the hot lead with the score, reason, likely objections and next step to your sales channel.
  • Add warm lead to HubSpot — HubSpot: Create or update a contact. Branch: Warm. Creates or updates the contact in HubSpot as a marketing-qualified lead, ready for your nurture emails.
  • Log the qualification on the contact — HubSpot: Add a note. Adds a note to the HubSpot contact just created or updated with the score, the reason, likely objections, the next step and the lead's own message, so reps see why without opening Fluxo Flow.
  • Keep cold lead in history — Kept in the run history. Branch: Cold. Cold leads aren't added to your CRM; the run history keeps them and their score.

Test it with Dry Run

Press Dry Run in the canvas. The agent runs on the sample data stored on its trigger (the “Sample data for Dry Run” box), so you can check every step's output before anything is live. Edit the sample to match the fields your own form or app sends.

Sample data fields

name, email, phone, company, role, website, company_size, message, source.

  • Nothing is sent or written: app actions, emails and Slack posts are simulated, and AI steps don't call your AI provider.

Go live

  • Open the trigger, switch the webhook on and send your form submissions to its URL.
  • The webhook is protected by a secret: send it in the header shown in the Activation panel (requests without it are refused with 403). Each request starts one run.
  • The setup checklist adds a “paid plan” item before activation: live runs need a paid plan (the Free plan only runs Dry Runs).
  • When every checklist item is done and the trigger is on, the checklist says “Live — this agent is running”. Follow its runs in the workflow's History tab and in Analytics → Agents.

Questions

Can I change the hot and warm thresholds?

Yes. Edit the numbers (70 and 40) on the “Hot, warm or cold?” router.

Does it email leads?

No. It qualifies and routes them; your reps or HubSpot sequences do the outreach.

Troubleshooting

  • “No AI provider connected” or a rejected key: connect or fix the key in Settings → AI Providers, then press Test there.
  • A checklist item stays unticked: the setting is still empty or still contains its placeholder text. Open the step from the checklist and fill it in.
  • An app step fails with “Needs reconnect”: the account's access was revoked or expired. Reconnect it in Settings → Integrations.
  • Slack says the app isn't in the channel: in Slack, type /invite @Fluxo Flow in that channel (always needed for private channels).
  • Nothing happens when your form sends data: check the webhook is switched on and the request carries the secret header (403 means it's missing or wrong).
  • A step failed: open the run in History and check that step in the Trace tab for the error and what it received.
