Agent setup guide
Lead Magnet Delivery
Each Typeform signup for your freebie gets it by email from your Gmail; those who agreed to the newsletter are added to Kit and tagged by interest.
What it does
Each Typeform signup for your freebie gets it by email from your Gmail; those who agreed to the newsletter are added to Kit and tagged by interest.
- Starts for each new completed response to your freebie form in Typeform.
- AI reads the email address, first name, interest and newsletter consent from the answers, and writes a short delivery email in your voice.
- Code checks the address and placeholders, adds your freebie link below the text and sends it from your Gmail, straight away or after your approval (your choice).
- Only people whose answers agreed to the newsletter are added to Kit as subscribers and tagged with your Kit tag for their interest, matched in code.
What it needs
- A paid plan (agents run live on paid plans).
- An AI provider key (Settings → AI Providers).
- Typeform, Gmail and Kit, connected in Settings → Integrations.
- A Typeform form that asks for an email (and ideally a name, an interest and newsletter consent), and a link to your freebie.
What it doesn't do
- It sends a link: it doesn't attach the file or change sharing in Google Drive (share the file as “Anyone with the link” yourself).
- Up to three interest tags; other answers get no interest tag.
- Typeform only as the form; Kit only as the email tool.
- Not instant: new responses are checked every few minutes.
Availability and plans
Available
Its workflow is built and tested, and every app it needs is live. You can get it and set it up now.
Included free on the Enterprise plan; on other paid plans it's a one-time purchase per workspace (the price is on the Agents page). The Agents page in the app always shows its current status.
Before you start
- A paid plan: agents run live, and the Free plan only runs Dry Runs.
- An AI provider key (OpenAI, Anthropic, Google and more) in Settings → AI Providers. AI usage is billed by your provider.
- These apps, connected in Settings → Integrations: Typeform, Gmail and Kit.
- The app it watches, connected in Settings → Integrations (the agent starts from an app event).
- About 15 minutes.
Set it up step by step
Get the agent first (buy it, or it's already yours when your plan includes it), then in Agents → My agents press “Set up this agent”. That creates the agent's workflow in your workspace (it counts towards your plan's workflow limit) and opens the canvas with a setup checklist above it. Each item links to the exact place to go and ticks itself off when it's done.
1. Connect your AI provider
The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
2. Connect Typeform
Connect Typeform with a personal token that has forms:read and responses:read (Settings → Integrations → Typeform).
3. Connect Gmail
Connect the Gmail account the freebie goes out from (Settings → Integrations → Gmail).
4. Connect Kit
Connect Kit with a v4 API key (Settings → Integrations → Kit).
5. Pick your freebie form
Open the trigger and pick the Typeform account and the form.
| Setting | What to enter | In step |
|---|---|---|
| Typeform account | The Typeform account with your freebie form. Pick your connected Typeform account. | “New Typeform response” |
| Freebie form | Pick your freebie form, or paste its link. | “New Typeform response” |
6. Describe the freebie and interests
Open “Read the response and write the email” and replace the two placeholders.
| Setting | What to enter | In step |
|---|---|---|
| Your interests | Replace the placeholder with up to three interests, numbered, e.g. 1 = sourdough at home, 2 = cake decorating, 3 = baking classes. It starts as “[UP TO THREE INTERESTS, NUMBERED: 1 = …, 2 = …, 3 = …]” until you replace it. | “Read the response and write the email” |
| Your freebie and review switch | Replace the placeholder with your business, the freebie, tone, sign-off and REVIEW BEFORE SENDING: yes or no. It starts as “[YOUR BUSINESS, THE FREEBIE (WHAT IT IS AND WHAT IT HELPS WITH), YOUR TONE, HOW YOU SIGN EMAILS, AND WHETHER EACH DELIVERY EMAIL NEEDS YOUR APPROVAL. REVIEW BEFORE SENDING: no]” until you replace it. | “Read the response and write the email” |
7. Gmail and your link
Open “Email the freebie”: pick the Gmail account and paste your freebie link.
| Setting | What to enter | In step |
|---|---|---|
| Gmail account | The Gmail or Google Workspace account the freebie is sent from. Pick your connected Gmail account. | “Email the freebie” |
| Your freebie link | Replace the placeholder with the link to your freebie, e.g. a Google Drive file shared as “Anyone with the link can view”. It starts as “[YOUR FREEBIE LINK]” until you replace it. | “Email the freebie” |
8. Kit and your interest tags
Open “Add them to Kit” and the three tag steps: pick the Kit account and the tag for each interest.
| Setting | What to enter | In step |
|---|---|---|
| Kit account | The Kit account your newsletter is in. Pick your connected Kit account. | “Add them to Kit” |
| Kit account (interest 1, same one) | The same Kit account. Pick your connected Kit account. | “Tag interest 1 in Kit” |
| Kit tag for interest 1 | Pick the Kit tag for your interest 1 (create it in Kit → Subscribers → Tags first). | “Tag interest 1 in Kit” |
| Kit account (interest 2, same one) | The same Kit account. Pick your connected Kit account. | “Tag interest 2 in Kit” |
| Kit tag for interest 2 | Pick the Kit tag for your interest 2 (create it in Kit → Subscribers → Tags first). | “Tag interest 2 in Kit” |
| Kit account (interest 3, same one) | The same Kit account. Pick your connected Kit account. | “Tag interest 3 in Kit” |
| Kit tag for interest 3 | Pick the Kit tag for your interest 3 (create it in Kit → Subscribers → Tags first). | “Tag interest 3 in Kit” |
9. Test it with Dry Run
Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
10. Switch the trigger on
Open the trigger and click “Activate app trigger”: new responses are checked every few minutes.
How it works
The agent is a normal workflow with 23 steps (1 AI step, with a person approving in Reviews). You can open, edit and monitor it like any other workflow.
- New Typeform response — Starts on “New response” in Typeform (an app event). Starts a run for each new completed response to your freebie form (checked every few minutes).
- Read the response and write the email — AI step (runs on your AI provider key). AI reads the email address, first name, interest and newsletter consent from the answers, and writes a short delivery email in your voice (the link is added in code).
- Has an email? — Step. In code: exactly one valid email address was found in the answers.
- Deliver, and review first? — Decision: picks the branch to follow. No valid email: nothing is sent. With review on the email waits for you; with review off (the default for this agent) it goes straight to the checks.
- Not sent: no valid email — Kept in the run history. Branch: No email. The response had no valid email address.
- Approve the delivery email — A person approves or rejects it in Reviews (the run waits). Branch: Review first. The email waits in Reviews: edit, approve to send it with the link, or reject.
- Check before sending — Step. Branch: No review / Approved. In code: one valid recipient, a subject and body, and no leftover placeholders.
- Passed the checks? — Decision: picks the branch to follow. Passed: the freebie is sent. Otherwise nothing is sent.
- Held: nothing sent — Kept in the run history. Branch: Held. The email was blank, too long or had a placeholder.
- Email the freebie — Gmail: Send an email. Branch: Send. Sends the email from your Gmail with your freebie link below the text.
- Agreed to the newsletter? — Step. In code: only people whose answers agreed to the newsletter are added to Kit.
- Add to Kit? — Decision: picks the branch to follow. With consent: added to Kit and tagged by interest. Without: they only get the freebie.
- Freebie sent (not added to Kit) — Kept in the run history. Branch: No consent. They didn't agree to the newsletter.
- Add them to Kit — Kit: Create or update a subscriber. Branch: Consent. Creates (or updates) the subscriber in Kit as active, with their first name.
- Interest 1? — Step. In code: does the interest match your interest 1?
- Interest 2? — Step. In code: does the interest match your interest 2?
- Interest 3? — Step. In code: does the interest match your interest 3?
- Which interest? — Decision: picks the branch to follow. Tags them with the Kit tag of their interest; “other” gets no interest tag.
- Tag interest 1 in Kit — Kit: Tag a subscriber. Branch: Interest 1. Adds your Kit tag for interest 1 (tags can start your Kit automations).
- Tag interest 2 in Kit — Kit: Tag a subscriber. Branch: Interest 2. Adds your Kit tag for interest 2 (tags can start your Kit automations).
- Tag interest 3 in Kit — Kit: Tag a subscriber. Branch: Interest 3. Adds your Kit tag for interest 3 (tags can start your Kit automations).
- Added without an interest tag — Kept in the run history. Branch: Other. Their interest didn't match one of yours.
- Delivered and tagged — Kept in the run history. The run history keeps the email and the tag.
Test it with Dry Run
Press Dry Run in the canvas. The agent runs on the sample data stored on its trigger (the “Sample data for Dry Run” box), so you can check every step's output before anything is live. The sample has the same shape as a real event from the app.
Sample data fields
response_id, token, submitted_at, landed_at, answers (a list), hidden.utm_source, score, variables (a list), metadata.platform, metadata.referer.
- Nothing is sent or written: app actions, emails and Slack posts are simulated, and AI steps don't call your AI provider.
- Approval steps use the Dry Run decision you pick in the step's settings (approved, rejected or timeout), so you can try each branch.
Go live
- Open the trigger and click “Activate app trigger”: new responses are checked every few minutes.
- Activating the app trigger needs the trigger's connected account. The first check only remembers what's already there, so older items don't start runs; the same item never starts two runs.
- The setup checklist adds a “paid plan” item before activation: live runs need a paid plan (the Free plan only runs Dry Runs).
- When every checklist item is done and the trigger is on, the checklist says “Live — this agent is running”. Follow its runs in the workflow's History tab and in Analytics → Agents.
Questions
How is the freebie delivered?
As a link in the email. Put the file in Google Drive (Share → Anyone with the link → Viewer) or anywhere else and paste its link in “Email the freebie”.
Who is added to Kit?
Only people whose answers clearly agreed to the newsletter (a yes or a ticked box to an email question). Everyone else gets the freebie and nothing more.
Does each email wait for me?
Not by default: people expect their download straight away. Write REVIEW BEFORE SENDING: yes in your rules to approve each one first.
Troubleshooting
- “No AI provider connected” or a rejected key: connect or fix the key in Settings → AI Providers, then press Test there.
- A checklist item stays unticked: the setting is still empty or still contains its placeholder text. Open the step from the checklist and fill it in.
- An app step fails with “Needs reconnect”: the account's access was revoked or expired. Reconnect it in Settings → Integrations.
- No runs start: activate the app trigger with a connected account. Only items created after activation start runs.
- A run shows as paused: it's waiting for someone in Reviews to approve or reject it.
- A step failed: open the run in History and check that step in the Trace tab for the error and what it received.
