Agent setup guide
Podcast Episode Promo Kit
Each episode's transcript turned into show notes, chapters, verbatim quotes, social posts and a guest share email — saved in Notion.
What it does
Each episode's transcript turned into show notes, chapters, verbatim quotes, social posts and a guest share email — saved in Notion.
- Starts from each episode your form or publishing script posts to its webhook, with the transcript text.
- AI writes show notes, chapters (only when the transcript has timestamps), up to 3 pull quotes copied word for word, a post per platform you use and a newsletter blurb.
- Saves the whole kit to your Notion episodes database for your team.
- Drafts a share email for the guest with the link, ready-made posts and a quote; the host approves (and can edit) it before it's sent.
What it needs
- A paid plan (agents run live on paid plans).
- An AI provider key (Settings → AI Providers).
- Notion, connected in Settings → Integrations, with an episodes database.
- A form or script that posts the episode and its transcript text to a webhook.
What it doesn't do
- It doesn't transcribe audio: it works from the transcript text you send.
- Quotes are verbatim only; still check them against the audio before publishing.
- It doesn't publish to your podcast host or social accounts.
- Not the Video Reels Generator, which writes short-video scripts.
Availability and plans
Available
Its workflow is built and tested, and every app it needs is live. You can get it and set it up now.
Included free on the Enterprise plan; on other paid plans it's a one-time purchase per workspace (the price is on the Agents page). The Agents page in the app always shows its current status.
Before you start
- A paid plan: agents run live, and the Free plan only runs Dry Runs.
- An AI provider key (OpenAI, Anthropic, Google and more) in Settings → AI Providers. AI usage is billed by your provider.
- These apps, connected in Settings → Integrations: Notion.
- A form, app or system that can send each new item to a webhook URL (the agent starts from a webhook).
- About 10 minutes.
Set it up step by step
Get the agent first (buy it, or it's already yours when your plan includes it), then in Agents → My agents press “Set up this agent”. That creates the agent's workflow in your workspace (it counts towards your plan's workflow limit) and opens the canvas with a setup checklist above it. Each item links to the exact place to go and ticks itself off when it's done.
1. Connect your AI provider
The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
2. Connect Notion
Connect Notion and share your episodes database with the Fluxo Flow integration (Settings → Integrations → Notion).
3. Describe your show
Open “Write the promo kit” and replace the placeholder with your show, tone and platforms.
| Setting | What to enter | In step |
|---|---|---|
| Your show, tone and platforms | Replace the placeholder with your show name, host(s), tone, the platforms you post on and their style, hashtags, subscribe links and email sign-off. It starts as “[PASTE YOUR SHOW NAME, HOST NAME(S), THE TONE OF YOUR SHOW NOTES, THE PLATFORMS YOU POST ON (E.G. LINKEDIN, X, INSTAGRAM) AND THEIR STYLE, HASHTAGS YOU USE, YOUR SUBSCRIBE LINKS AND HOW YOU SIGN EMAILS HERE]” until you replace it. | “Write the promo kit” |
4. Pick the episodes database
Open “Save the kit in Notion” and pick your account and database.
| Setting | What to enter | In step |
|---|---|---|
| Notion account | The Notion workspace with your episodes database. Pick your connected Notion account. | “Save the kit in Notion” |
| Episodes database | The Notion database the kit is saved to, with the properties Name (title), Status (select with a Promo kit ready option), Guest (text), Publish link (url). | “Save the kit in Notion” |
5. Add your show inbox
Open “Email the guest their share kit” and enter the Reply-to address.
| Setting | What to enter | In step |
|---|---|---|
| Your show inbox (replies) | The guest's replies come back to this address (Reply-to). | “Email the guest their share kit” |
6. Test it with Dry Run
Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
7. Switch the trigger on
Open the trigger, switch the webhook on and copy its URL and secret into your episode form or publishing script.
How it works
The agent is a normal workflow with 9 steps (1 AI step, with a person approving in Reviews). You can open, edit and monitor it like any other workflow.
- New episode ready — Starts when your form or app sends data to the agent's webhook URL. Starts when your episode form (or your own publishing script) posts the episode: title, publish link, guest name and email, and the transcript text.
- Write the promo kit — AI step (runs on your AI provider key). AI writes show notes, chapters (when the transcript has timestamps), 3 verbatim pull quotes, social posts per platform, a newsletter blurb and the guest's share email — all from the transcript.
- Save the kit in Notion — Notion: Create a page in a database. Adds the episode to your Notion episodes database with the whole kit (show notes, chapters, quotes, posts, blurb) for your team to copy.
- Kit in Notion — Kept in the run history. The run history keeps the Notion page link.
- Email the guest? — Decision: picks the branch to follow. Episodes without a guest email only get the Notion kit.
- No guest email — Kept in the run history. Branch: No guest email. Nothing was emailed; the kit is in Notion.
- Approve the guest email — A person approves or rejects it in Reviews (the run waits). Branch: Guest. The host reads the share email (posts and quote) in Reviews, edits it and approves before it goes to the guest.
- Email the guest their share kit — Sends an email from your workspace's sender. Branch: Approved. Sends the approved share email to the guest, with replies coming back to your show inbox.
- Guest emailed — Kept in the run history. The run history keeps the approved email.
Test it with Dry Run
Press Dry Run in the canvas. The agent runs on the sample data stored on its trigger (the “Sample data for Dry Run” box), so you can check every step's output before anything is live. Edit the sample to match the fields your own form or app sends.
Sample data fields
episode_title, show_name, episode_number, publish_url, guest_name, guest_email, transcript.
- Nothing is sent or written: app actions, emails and Slack posts are simulated, and AI steps don't call your AI provider.
- Approval steps use the Dry Run decision you pick in the step's settings (approved, rejected or timeout), so you can try each branch.
Go live
- Open the trigger, switch the webhook on and copy its URL and secret into your episode form or publishing script.
- The webhook is protected by a secret: send it in the header shown in the Activation panel (requests without it are refused with 403). Each request starts one run.
- The setup checklist adds a “paid plan” item before activation: live runs need a paid plan (the Free plan only runs Dry Runs).
- When every checklist item is done and the trigger is on, the checklist says “Live — this agent is running”. Follow its runs in the workflow's History tab and in Analytics → Agents.
Questions
Does it transcribe the audio?
No. Paste the transcript text from your recording or hosting tool into the form (with timestamps if you want chapters).
What should the form send?
A JSON POST with show_name, episode_number, episode_title, publish_url, guest_name, guest_email and transcript. Your form or script posts it with the webhook's signature header.
Does it publish anything?
No. It doesn't post to your podcast host or social accounts; your team copies the kit from Notion.
What Notion database do I need?
A database with the properties Name (title), Status (select with a Promo kit ready option), Guest (text), Publish link (url), shared with the Fluxo Flow integration.
Troubleshooting
- “No AI provider connected” or a rejected key: connect or fix the key in Settings → AI Providers, then press Test there.
- A checklist item stays unticked: the setting is still empty or still contains its placeholder text. Open the step from the checklist and fill it in.
- An app step fails with “Needs reconnect”: the account's access was revoked or expired. Reconnect it in Settings → Integrations.
- Nothing happens when your form sends data: check the webhook is switched on and the request carries the secret header (403 means it's missing or wrong).
- A run shows as paused: it's waiting for someone in Reviews to approve or reject it.
- A step failed: open the run in History and check that step in the Trace tab for the error and what it received.
