Signed Contract Filing
When a DocuSign envelope is fully signed, files it in Notion, marks the HubSpot deal won and tells Slack.
What it does
When a DocuSign envelope is fully signed, files it in Notion, marks the HubSpot deal won and tells Slack.
- Starts when a DocuSign envelope is completed (checked every 15 minutes, DocuSign's limit).
- Finds the envelope in your Notion contracts log (written by Deal-to-Contract Sender, or rows you add with the Envelope ID and Deal ID) and reads the document names from DocuSign.
- Marks the log row Signed with the date, moves the HubSpot deal to your won stage and adds a note with the signer, documents, dates and a link to the envelope.
- Announces the signing in your Slack channel. Signed envelopes that aren't linked to a deal are added to the log and flagged in Slack, without touching HubSpot.
What it needs
- A paid plan (agents run live on paid plans).
- An AI provider key (Settings → AI Providers).
- DocuSign, Notion, HubSpot and Slack, connected in Settings → Integrations.
- A Notion contracts database with Envelope ID, Deal ID, Signer, Signer email, Status, Sent and Signed properties (the one Deal-to-Contract Sender uses).
What it doesn't do
- It doesn't save or read the signed PDF: DocuSign gives no download link. It records the status, signer, dates, document names and a link to the envelope, not the document text.
- It doesn't guess which deal an envelope belongs to: without a contracts-log row it only logs and flags it.
- It isn't instant: DocuSign allows checking every 15 minutes.
Availability and plans
Coming soon — waiting for DocuSign approval
The agent is built, but DocuSign is still waiting for the vendor's approval. It becomes available on its own once that app is live; until then it can't be bought or set up.
Included free on the Enterprise plan; on other paid plans it's a one-time purchase per workspace (the price is on the Agents page). The Agents page in the app always shows its current status.
Before you start
- A paid plan: agents run live, and the Free plan only runs Dry Runs.
- An AI provider key (OpenAI, Anthropic, Google and more) in Settings → AI Providers. AI usage is billed by your provider.
- These apps, connected in Settings → Integrations: DocuSign, Notion, HubSpot and Slack.
- The app it watches, connected in Settings → Integrations (the agent starts from an app event).
- About 20 minutes.
Set it up step by step
Get the agent first (buy it, or it's already yours when your plan includes it), then in Agents → My agents press “Set up this agent”. That creates the agent's workflow in your workspace (it counts towards your plan's workflow limit) and opens the canvas with a setup checklist above it. Each item links to the exact place to go and ticks itself off when it's done.
1. Connect your AI provider
The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
2. Connect DocuSign
Connect DocuSign (Settings → Integrations → DocuSign) and pick your data center.
3. Connect Notion
Connect Notion (Settings → Integrations → Notion) and share your contracts database with it.
4. Connect HubSpot
Connect the HubSpot account your deals live in (Settings → Integrations → HubSpot).
5. Connect Slack
Connect your Slack workspace (Settings → Integrations → Slack).
6. Pick your DocuSign account
Open the trigger and “List the signed documents” and pick your DocuSign account in each.
| Setting | What to enter | In step |
|---|---|---|
| DocuSign account (completed envelopes) | The DocuSign account whose completed envelopes start the agent. Pick your connected DocuSign account. | “Envelope fully signed” |
| DocuSign account (documents) | The same DocuSign account, to read the document names. Pick your connected DocuSign account. | “List the signed documents” |
7. Pick your contracts database
Open the three Notion steps and pick your account and the same contracts database (Name (title), Envelope ID (text), Deal ID (text), Signer (text), Signer email (email), Status (select with the options Sent and Signed), Sent (date), Signed (date)).
| Setting | What to enter | In step |
|---|---|---|
| Notion account (contracts log) | The Notion workspace with your contracts database. Pick your connected Notion account. | “Find it in your contracts log” |
| Contracts database | Pick your Notion contracts database (share it with Fluxo Flow first). It needs: Name (title), Envelope ID (text), Deal ID (text), Signer (text), Signer email (email), Status (select with the options Sent and Signed), Sent (date), Signed (date). | “Find it in your contracts log” |
| Notion account (mark signed) | The same Notion workspace, to mark the row Signed. Pick your connected Notion account. | “Mark it Signed in Notion” |
| Notion account (unlinked envelopes) | The same Notion workspace, to log envelopes that aren't linked to a deal. Pick your connected Notion account. | “Add it to the contracts log” |
| Contracts database (unlinked envelopes) | Pick the same contracts database as in “Find it in your contracts log”. | “Add it to the contracts log” |
8. Pick your won stage
Open “Mark the deal won” and pick your HubSpot account, the pipeline and the won stage, then pick the account in “Add a note to the deal”.
| Setting | What to enter | In step |
|---|---|---|
| HubSpot account (deal won) | The HubSpot account your deals live in. Pick your connected HubSpot account. | “Mark the deal won” |
| Deal pipeline | The HubSpot pipeline of the deals you send contracts for. | “Mark the deal won” |
| Won stage | The stage that means the deal is won (Closed won in HubSpot's default pipeline). | “Mark the deal won” |
| HubSpot account (deal note) | The same HubSpot account, to add the note. Pick your connected HubSpot account. | “Add a note to the deal” |
9. Pick the Slack channel
Open “Announce it in Slack” and pick your account and channel. Invite the app to private channels first (/invite @Fluxo Flow).
| Setting | What to enter | In step |
|---|---|---|
| Slack account | The Slack workspace the signing is announced in. Pick your connected Slack account. | “Announce it in Slack” |
| Channel for signed contracts | Pick the channel that should hear about signed contracts, e.g. #wins or #sales. | “Announce it in Slack” |
10. Test it with Dry Run
Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
11. Switch the trigger on
Open the trigger and click “Activate app trigger”: envelopes completed from now on are checked every 15 minutes.
How it works
The agent is a normal workflow with 11 steps (1 AI step). You can open, edit and monitor it like any other workflow.
- Envelope fully signed — Starts on “Envelope completed” in DocuSign (an app event). Starts when a DocuSign envelope is completed (everyone has signed). DocuSign allows checking only every 15 minutes, so it can take up to 15 minutes.
- Find it in your contracts log — Notion: Query a database. Looks up the envelope in your Notion contracts database by its Envelope ID, to find the HubSpot deal and the signer recorded when it was sent.
- List the signed documents — DocuSign: List envelope documents. Reads the names of the documents in the envelope from DocuSign (names only; DocuSign gives no download link).
- Prepare the filing — AI step (runs on your AI provider key). AI reads the envelope, the contracts-log row and the document names, and prepares the deal note, the Slack announcement and the dates to record.
- Linked to a deal? — Decision: picks the branch to follow. Envelopes found in the contracts log with a Deal ID update HubSpot; others are added to the log and flagged in Slack without touching HubSpot.
- Mark it Signed in Notion — Notion: Update page properties. Branch: Linked to a deal. Sets the contracts-log row's Status to Signed and fills in the Signed date.
- Mark the deal won — HubSpot: Update a deal. Moves the HubSpot deal to your won stage.
- Add a note to the deal — HubSpot: Add a note. Logs the signing on the deal's timeline: date, signer, documents and the envelope link.
- Add it to the contracts log — Notion: Create a page in a database. Branch: Not linked. Adds the signed envelope to your Notion contracts database (Status Signed, no Deal ID) so nothing signed goes unrecorded.
- Announce it in Slack — Slack: Post a message. Posts the signing to your channel (deal won), or flags a signed envelope that isn't linked to a deal, with the Notion page.
- Done — Kept in the run history. The run history keeps the envelope, the filing and what was updated.
Test it with Dry Run
Press Dry Run in the canvas. The agent runs on the sample data stored on its trigger (the “Sample data for Dry Run” box), so you can check every step's output before anything is live. The sample has the same shape as a real event from the app.
Sample data fields
envelope_id, status, email_subject, sent, completed, status_changed, declined, voided_reason.
- Nothing is sent or written: app actions, emails and Slack posts are simulated, and AI steps don't call your AI provider.
Go live
- Open the trigger and click “Activate app trigger”: envelopes completed from now on are checked every 15 minutes.
- Activating the app trigger needs the trigger's connected account. The first check only remembers what's already there, so older items don't start runs; the same item never starts two runs.
- The setup checklist adds a “paid plan” item before activation: live runs need a paid plan (the Free plan only runs Dry Runs).
- When every checklist item is done and the trigger is on, the checklist says “Live — this agent is running”. Follow its runs in the workflow's History tab and in Analytics → Agents.
Questions
Does it save the signed PDF?
No. DocuSign gives other apps no download link for signed documents. The agent records the status, signer, dates, document names and a link to open the envelope in DocuSign; signers and CCs get the PDF from DocuSign by email.
How does it know which deal was signed?
From your Notion contracts log: the row with the envelope's Envelope ID and its Deal ID. Deal-to-Contract Sender writes these rows; for envelopes you send yourself, add a row with both ids.
Why can it take 15 minutes?
DocuSign's rules allow checking envelope status at most every 15 minutes.
What does the Notion contracts database need?
These properties: Name (title), Envelope ID (text), Deal ID (text), Signer (text), Signer email (email), Status (select with the options Sent and Signed), Sent (date), Signed (date).
Troubleshooting
- “No AI provider connected” or a rejected key: connect or fix the key in Settings → AI Providers, then press Test there.
- A checklist item stays unticked: the setting is still empty or still contains its placeholder text. Open the step from the checklist and fill it in.
- An app step fails with “Needs reconnect”: the account's access was revoked or expired. Reconnect it in Settings → Integrations.
- Slack says the app isn't in the channel: in Slack, type /invite @Fluxo Flow in that channel (always needed for private channels).
- No runs start: activate the app trigger with a connected account. Only items created after activation start runs.
- A step failed: open the run in History and check that step in the Trace tab for the error and what it received.
