Agent setup guide
YouTube Upload Packager
Each new upload gets three title options, a description with chapters from your own timestamps, tags and a pinned-comment text; approve and the video is updated.
What it does
Each new upload gets three title options, a description with chapters from your own timestamps, tags and a pinned-comment text; approve and the video is updated.
- Starts for each video added to your channel's uploads, private and unlisted ones included (checked every 15 minutes or more).
- AI writes three title options (within 100 characters), a clean description with chapters built only from the timestamps in your upload notes, search tags and a short comment to pin, in your channel's style; every link from your notes is kept.
- Everything waits for your approval in Reviews; pick a title and edit anything.
- After approval, code checks the lengths and leftover placeholders; then the video's title, description and tags are updated on YouTube.
- The approved pinned-comment text is emailed to you with the video link.
What it needs
- A paid plan (agents run live on paid plans).
- An AI provider key (Settings → AI Providers).
- YouTube (the Google account of your channel), connected in Settings → Integrations.
What it doesn't do
- It doesn't watch or listen to the video: chapters come only from timestamps you write in the upload notes, and are left out when there are none.
- It can't post or pin the comment (YouTube doesn't allow that for apps): the text is emailed to you.
- It doesn't change thumbnails, privacy, playlists or the publish time.
- Nothing is changed on YouTube without your approval.
Availability and plans
Available
Its workflow is built and tested, and every app it needs is live. You can get it and set it up now.
Included free on the Enterprise plan; on other paid plans it's a one-time purchase per workspace (the price is on the Agents page). The Agents page in the app always shows its current status.
Before you start
- A paid plan: agents run live, and the Free plan only runs Dry Runs.
- An AI provider key (OpenAI, Anthropic, Google and more) in Settings → AI Providers. AI usage is billed by your provider.
- These apps, connected in Settings → Integrations: YouTube.
- The app it watches, connected in Settings → Integrations (the agent starts from an app event).
- About 15 minutes.
Set it up step by step
Get the agent first (buy it, or it's already yours when your plan includes it), then in Agents → My agents press “Set up this agent”. That creates the agent's workflow in your workspace (it counts towards your plan's workflow limit) and opens the canvas with a setup checklist above it. Each item links to the exact place to go and ticks itself off when it's done.
1. Connect your AI provider
The AI steps run on your own key (OpenAI, Anthropic, Google and more). Add one in Settings → AI Providers.
2. Connect YouTube
Connect the Google account of your channel in Settings → Integrations → YouTube.
3. Pick your channel
Open the trigger and pick your YouTube account and channel.
| Setting | What to enter | In step |
|---|---|---|
| YouTube account (uploads) | The Google account of your YouTube channel. Pick your connected YouTube account. | “New video on your channel” |
| Your channel | Pick your channel (its uploads list). | “New video on your channel” |
4. Describe your channel
Open “Package the video” and replace the placeholder with your channel and style.
| Setting | What to enter | In step |
|---|---|---|
| Your channel and style | Replace the placeholder with your channel, audience, title style, the links and sign-off every description ends with, and words you never use. It starts as “[DESCRIBE YOUR CHANNEL, WHO WATCHES, YOUR TITLE STYLE, THE LINKS AND SIGN-OFF EVERY DESCRIPTION ENDS WITH, AND WORDS YOU NEVER USE IN TITLES]” until you replace it. | “Package the video” |
5. Pick the account that updates
Open “Update the video” and pick the same YouTube account.
| Setting | What to enter | In step |
|---|---|---|
| YouTube account (updates, same one) | The same YouTube account. Pick your connected YouTube account. | “Update the video” |
6. Where the comment goes
Open “Email you the pinned comment” and replace the example address with yours.
| Setting | What to enter | In step |
|---|---|---|
| Your email (pinned comment) | Who gets the pinned-comment text. Replace the example address. It starts as “you@your-business.example” until you replace it. | “Email you the pinned comment” |
7. Test it with Dry Run
Press Dry Run: the agent runs on sample data with no messages sent and nothing written to your apps.
8. Switch the trigger on
Open the trigger and click “Activate app trigger”: new uploads are checked every 15 minutes or more.
How it works
The agent is a normal workflow with 9 steps (1 AI step, with a person approving in Reviews). You can open, edit and monitor it like any other workflow.
- New video on your channel — Starts on “New video on my channel” in YouTube (an app event). Starts for each video added to your channel's uploads, including private and unlisted ones (checked every 15 minutes or more).
- Package the video — AI step (runs on your AI provider key). AI writes three title options, a description with chapters built only from the timestamps you wrote in your upload notes, tags, and the text for a pinned comment, in your channel's style.
- Approve the package — A person approves or rejects it in Reviews (the run waits). Title options, description, tags and the pinned comment wait in Reviews: pick a title (put it in json.title), edit anything, then approve to update the video. Reject to change nothing.
- Check before updating — Step. Branch: Approved. In code: the title fits 100 characters, the description 4500 and the tags 450, and none of them has a leftover placeholder.
- Passed the checks? — Decision: picks the branch to follow. Passed: the video is updated. Otherwise nothing changes on YouTube.
- Held: video not changed — Kept in the run history. Branch: Held. A field was blank, too long or still had a placeholder. Edit the video in YouTube Studio, or start the run again.
- Update the video — YouTube: Update a video's title, description or tags. Branch: Update. Writes the approved title, description and tags to the video (YouTube keeps its other details).
- Email you the pinned comment — Sends an email from your workspace's sender. YouTube doesn't let apps post and pin a comment on your own video, so the approved comment is emailed to you with the video link, to post and pin in a few seconds.
- Packaged — Kept in the run history. The run history keeps the title options and what was written to the video.
Test it with Dry Run
Press Dry Run in the canvas. The agent runs on the sample data stored on its trigger (the “Sample data for Dry Run” box), so you can check every step's output before anything is live. The sample has the same shape as a real event from the app.
Sample data fields
title, video_id, description, published_at, added_at, privacy_status, channel_id.
- Nothing is sent or written: app actions, emails and Slack posts are simulated, and AI steps don't call your AI provider.
- Approval steps use the Dry Run decision you pick in the step's settings (approved, rejected or timeout), so you can try each branch.
Go live
- Open the trigger and click “Activate app trigger”: new uploads are checked every 15 minutes or more.
- Activating the app trigger needs the trigger's connected account. The first check only remembers what's already there, so older items don't start runs; the same item never starts two runs.
- The setup checklist adds a “paid plan” item before activation: live runs need a paid plan (the Free plan only runs Dry Runs).
- When every checklist item is done and the trigger is on, the checklist says “Live — this agent is running”. Follow its runs in the workflow's History tab and in Analytics → Agents.
Questions
Where do the chapters come from?
Only from timestamps you write in the description when you upload ("0:00 intro, 2:15 setup…"). The agent never makes up timestamps: without them, the description has no chapters.
Why isn't the comment posted for me?
YouTube's API lets apps reply to comments but not post and pin a new comment on your video, so the approved text is emailed to you to paste and pin.
Does it change my video without me?
No. Nothing is written to YouTube until you approve the package.
Troubleshooting
- “No AI provider connected” or a rejected key: connect or fix the key in Settings → AI Providers, then press Test there.
- A checklist item stays unticked: the setting is still empty or still contains its placeholder text. Open the step from the checklist and fill it in.
- An app step fails with “Needs reconnect”: the account's access was revoked or expired. Reconnect it in Settings → Integrations.
- No runs start: activate the app trigger with a connected account. Only items created after activation start runs.
- A run shows as paused: it's waiting for someone in Reviews to approve or reject it.
- A step failed: open the run in History and check that step in the Trace tab for the error and what it received.
